ETHICAL PRINCIPLES AND PROCEDURES APPLICABLE TO THE JOURNAL
Studia Neofilologiczne. Rozprawy Językoznawcze

In order to ensure the high quality of published articles and uphold research integrity, the editorial board of the scholarly journal Studia Neofilologiczne. Rozprawy Językoznawcze follows the ethical principles and procedures recommended by COPE (Committee on Publication Ethics) and enforces compliance with them. These principles and procedures apply to the journal’s editorial board, authors of scholarly publications, reviewers, and the publisher alike.

EDITORIAL POLICY

  1. Principle of responsibility
    The decision to admit a scholarly article to the peer-review process is made by the editor-in-chief in consultation with the subject editor and the editorial team. The subject editor verifies submitted texts in terms of their scholarly merit, with particular attention to whether the article’s content is consistent with the journal’s profile and the thematic scope of the issue. The subject editor also makes a preliminary assessment of the originality of the submitted text and its significance for the development of linguistics as a discipline. In addition, submitted texts are checked for compliance with the editorial guidelines. Articles should contain identical component parts arranged in a coherent structure and using consistent terminology, especially with regard to the bibliography, footnotes, appendices, and abstracts.
  2. Principle of impartiality
    Scholarly assessment is conducted objectively and impartially, regardless of such characteristics as gender, race, age, sexual orientation, religious or political beliefs, ethnic affiliation, or origin. Commercial considerations do not influence editorial decisions.
  3. Principle of confidentiality
    The editorial board is obliged to maintain the confidentiality of information related to the editorial process. Its task is to ensure the confidentiality and security of authors’ personal data and to comply with regulations concerning the protection of intellectual property and copyright.
  4. Principle of integrity and transparency
    In cases of suspected plagiarism, data falsification, or other dishonest practices, the editorial board applies approved procedures developed by COPE and consistent with international ethical standards. Any detected breach of ethics should be reported in writing to the editor-in-chief of the journal. Such a report may be submitted by a member of the editorial team, a reviewer, a reader of the journal, or any other person who has concerns about the integrity of a text. If ethical principles are found to have been violated in a text that has already been published, the editorial board will remove the article from the journal’s website and disclose the justification for the retraction decision in the next issue of the journal, including in the print version of the periodical. The editorial board will inform the author, the institution with which the author is affiliated, the reviewers, and any injured parties, as well as, if necessary, other appropriate bodies responsible for ethical oversight.
  5. Avoidance of conflicts of interest
    Editors should withdraw from the evaluation process if there is a conflict of interest involving the author or the institution with which the author is affiliated.
  6. Responsibility for decisions
    The editorial board is responsible for the decision to publish a text and ensures that the review process is reliable and fair. The editorial board is responsible for all content published in the journal and, where necessary, is prepared to publish corrections, errata, and rectifications.
  7. Complaints and appeals
    In the case of written complaints concerning the journal or the conduct of members of the editorial board, the document should be addressed to the editor-in-chief. If the complaint concerns the conduct of the editor-in-chief, it should be sent to the Publisher (wydawnictwo@ujd.edu.pl) and copied to the editor-in-chief. Complaints may concern violations of the complainant’s interests, negligence, undue delay, or failure to act on the part of the editorial board. The complainant should receive written notification of the resolution of the matter within 30 days from the date the complaint was submitted.
  8. Discussion and corrections
    The editorial board uses the Open Journal System, which allows for a comprehensive electronic publishing process in which the editor, reviewer, and author may engage in discussion and introduce corrections at every stage of the publication process.

PRINCIPLES APPLICABLE TO AUTHORS

  1. Principle of research integrity
    The author is obliged to conduct, present, and interpret scholarly research honestly and objectively. The work should disclose the sources of data and all essential information enabling the research to be replicated.
  2. Principles of originality of the work
    A work submitted by an author must constitute the author’s own intellectual property. Use of other people’s work is permitted only in accordance with copyright law. Infringement of the rights of third parties is prohibited. An article submitted for publication may not be under editorial consideration by another journal at the same time. Texts that have already been published in another journal or in monographs are not accepted for publication in this journal.
  3. Principle of preventing conflicts of interest
    The author is required to disclose to the editorial board any potential conflicts of interest arising, among other things, from professional subordination or economic dependence that may affect the impartial evaluation of the text’s scholarly value.
  4. Principles of authorship
    Authorship of a work should be limited exclusively to persons who have made a significant contribution to the creation of the text. In the case of an article written by more than one author, the contribution of each co-author to the preparation of the scholarly article must be specified (see the section for authors on preventing cases of “ghostwriting”).
    All authors must approve the final version of the work and consent to its publication.
  5. Sources of funding
    Authors should inform the editorial board about the sources of funding for the publication.
  6. Principle of source integrity
    The author is obliged to cite properly the publications that influenced the work. Information obtained privately may not be used without the written consent of its author.
  7. Principles concerning corrections
    The author is obliged to take into account the recommendations and guidance of the editorial board as well as the suggestions and comments of the reviewers. The author should immediately notify the subject editor if they notice significant errors in their publication. In cooperation with the editor-in-chief, an erratum, appendix, correction, or retraction of the publication should then be issued.

PRINCIPLES APPLICABLE TO REVIEWERS

  1. Cooperation with the editorial team
    Each article submitted to the journal is reviewed by two independent reviewers appointed by the editorial board. Reviewers influence the decisions made by the editors regarding the publication of the text. They may also, in agreement with the authors, decide on the final form of the article.
  2. Principle of research integrity
    A reviewer accepts for review only those texts whose subject matter corresponds to their knowledge and expertise.
  3. Principle of confidentiality
    The reviewer is obliged to maintain confidentiality with regard to materials provided for review. Access to reviewed works is limited to authorized persons only, namely the editorial board, the author, and the reviewers.
  4. Principle of timeliness
    Reviewers prepare their reviews within the timeframe specified by the editorial board. The reviewer should immediately inform the editorial board of any reasons for delay or of withdrawal from the review assignment.
  5. Principle of objectivity
    Comments in a review should concern only the substantive and formal aspects of the text. Any remarks directed at the author personally are unacceptable.
  6. Principle of source integrity
    The reviewer should immediately inform the editorial board of any suspicion of research misconduct and disclose all cases suggesting similarity between the reviewed work and other works, as well as indicate any works that were not cited by the author.
  7. Principle of preventing conflicts of interest
    Reviewers may not use reviewed texts for their own needs or benefit. If there is a conflict of interest involving the author of the text, they should be excluded from the review procedure.

PRINCIPLES APPLICABLE TO THE PUBLISHER

  1. The publisher is obliged to cooperate closely with the editorial board of the journal in matters relating to the editorial process.
  2. Together with the editorial board, the publisher ensures the editorial quality of the text.
  3. The publisher is obliged to implement corrections and additions submitted by the editorial board.
  4. The publisher also provides specialist legal assessment and advice regarding unethical publication practices.
